Terms and Conditions

These Terms and Conditions govern all bookings made with Matrix Safaris ("we", "us", "our") for safari tours, expeditions and related travel services. By making a booking, whether directly or through an authorised agent, you accept these terms in full on behalf of yourself and all members of your party.

Booking Terms

1. Booking and Confirmation

  • A booking is only confirmed once we have received a signed booking form or online confirmation and the required deposit.
  • The person making the booking confirms that they have authority to accept these terms on behalf of every traveller in the party.
  • A confirmation invoice will be issued once the deposit has been received and processed.
  • The client must check the confirmation invoice carefully and notify us immediately of any errors.

2. Payment Terms

  • A non-refundable 25% deposit is required to secure a booking unless otherwise stated in writing.
  • The balance is due no later than 60 days before the safari departure date.
  • For bookings made within 60 days of travel, full payment is required at the time of booking.
  • Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the deposit.
  • Payments may be made by bank transfer or approved online payment methods.
  • Bank charges, exchange differences and transaction fees are the responsibility of the client.

3. Cancellations by the Client

  • Cancellations must be made in writing by email and will be effective on the date received by Matrix Safaris.
  • More than 60 days before departure: loss of deposit only.
  • 59 to 30 days before departure: 50% of the total safari cost.
  • 29 to 15 days before departure: 75% of the total safari cost.
  • Less than 15 days before departure or no-show: 100% of the total safari cost.
  • We strongly recommend travel insurance with cancellation cover.

4. Changes and Cancellations by Matrix Safaris

  • Matrix Safaris may make reasonable itinerary changes due to weather, road conditions, wildlife movement, government regulations or circumstances beyond our control.
  • If Matrix Safaris cancels a trip for reasons within our control, we will offer a full refund or an alternative departure.
  • We are not liable for additional costs such as flights, visas or personal expenses caused by changes beyond our control.

5. Travel Insurance

  • Comprehensive travel insurance is strongly recommended for every traveller.
  • Insurance should cover medical expenses, emergency evacuation, cancellation, curtailment, baggage loss and personal liability.
  • Proof of insurance may be requested before travel.
  • Matrix Safaris is not responsible for costs arising from inadequate insurance cover.

6. Health, Fitness and Safety

  • Clients must ensure they are in suitable health and fitness for their chosen safari, trek or tour.
  • Clients should obtain appropriate medical advice, vaccinations and malaria guidance before travel.
  • Any medical conditions, allergies, disabilities or mobility concerns must be disclosed before the trip.
  • Clients must follow safety instructions from guides and staff, especially around wildlife.

7. Wildlife Safety

  • Wild animals are unpredictable. Matrix Safaris and its guides take reasonable precautions, but wildlife behavior cannot be controlled or guaranteed.
  • Clients must follow guide instructions, remain inside the vehicle unless told otherwise and respect park regulations.
  • By joining a safari, clients accept the inherent risks of wildlife travel.

8. Limitation of Liability

  • Matrix Safaris selects reputable suppliers and service providers, but safaris and travel in remote areas involve inherent risks.
  • We are not liable for injury, illness, loss, damage, delay or death caused by circumstances beyond our reasonable control, acts of nature, wildlife, political unrest or third-party negligence.
  • Our liability is limited to the value of services provided by Matrix Safaris and excludes consequential or indirect losses.

9. Travel Documents

  • Clients are responsible for valid passports, visas and all required travel documentation.
  • Passports should be valid for at least six months beyond the date of travel.
  • Matrix Safaris is not liable for failure to travel due to incomplete or invalid documents.

10. Conduct

  • Clients are expected to behave respectfully toward guides, staff, local communities, fellow travellers, local customs and laws.
  • Clients are responsible for any damage they cause.
  • Matrix Safaris may remove a client from a trip without refund if their conduct endangers others or seriously affects the enjoyment of the group.

11. Photography and Media

  • Matrix Safaris may take photos or videos during tours for marketing purposes.
  • Clients who do not wish to appear in marketing material must notify us in writing before the safari.

12. Force Majeure

  • Matrix Safaris is not liable for failure to perform obligations caused by events beyond our control, including natural disasters, extreme weather, pandemics, government action, civil unrest, strikes or park closures.

13. Complaints

  • Any concerns should be raised immediately with the guide or Matrix Safaris office so that we can try to resolve them during the trip.
  • Formal complaints must be submitted in writing within 21 days after the tour ends.

14. Governing Law

  • These Terms and Conditions are governed by the laws of the United Republic of Tanzania.
  • Any disputes shall be subject to the jurisdiction of the Tanzanian courts.
